Data Validation Rules

SAP Business One administrators can manage data validation directly in SAP.

Use the Data Validation Rules window to manage validation rules of the appropriate tables and related fields. This window can be used to configure validation rules which affect data retrieving. For instance, you can configure validation rules which define if an item is orderable or a customer is allowed to order. Only data which satisfies the selected criteria can be processed.

NOTE

Before you start setting up data validation rules, you first need to configure the Service Layer.

In SAP Business One click: Web Store > Setup > Data Validation Rules.

In the Table Name dropdown, select and add the table for which data validation rules should be set. By default, you can see 5 tables:

  • Countries (OCRY)

  • Business Partners (OCRD)

  • Items (OITM)

  • Sales Orders (ORDR)

  • Web Stores (@SANAECOM_WEBSHOP)

If you want to set up data validation rules for other SAP tables, click Load all tables. You will see the list of all available SAP tables.

When the table is added, click Update. Set up data validation rules for the required table fields.

The table below provides description of the fields in the Data Validation Rules window.

Field

Description

Field Name

The field of the table for which data validation rule should be set.

Method

An operator that indicates a specific data validation expression. The combination of the method and value defines the validation rule for the selected table field.

Value

The available field values.

Error Text

The error message of the related validation rule which is shown if some data does not pass validation. The error messages are predefined but it is possible to overwrite them.

Priority

The priority of the validation rules. The fields of the tables are checked in order set by priority.

When data validation rules are set for the table fields, click Enable to activate data validation rules for the table. You can use the Enable / Disable button to activate / deactivate data validation rules for any table.

Suggested Data Validation Rules

To help you make sure that all item and customer information is correct, you can set up suggested data validation rules to check whether:

  • All customer shipping addresses have a valid tax code and state.

  • All customers have a valid tax group.

  • All items have a valid tax group.

To set up suggested data validation rules, click on the Suggested Rules button, select the necessary rule and enable it.
