Sales agents can place orders on behalf of their business customers. A sales agent can also create a prospect customer and place an order on behalf of this prospect in the Sana webstore.

A sales agent can create a prospect from the My Account page in the webstore by clicking Create a prospect order.

You will see the Prospect details form where you need to enter the personal information of your prospect customer, like name and address.

When a prospect is created, it is saved into SAP S/4HANA. The prospect is automatically represented by a sales agent, who can place an order on behalf of this prospect. When a sales agent places an order on behalf of the prospect, the ordering process is just the same as if a sales agent represents a regular business customer. The order placed on behalf of a prospect is saved into SAP S/4HANA as a quote.

The sales agent can place orders on behalf of a prospective customer until this customer is represented. If a sales agent logs out or stops representing the prospect, it will not be possible to represent this prospect again and place an order on behalf of this prospect.

Set Up Countries and Customer Templates for Prospects

Those counties which are available in the Country dropdown of the prospect details should be configured in the Webstore Configuration app on the Visible Countries tab in SAP S/4HANA. The prospect functionality will work correctly only if a customer template is assigned to each visible in the webstore country. Customer templates assigned to the countries are customer records which are predefined with data, like currency and tax schedule, which is copied to the created prospect.

If no customer template is available, you can create the one yourself. Customer templates are the regular customers created in SAP S/4HANA.

Customer templates can be created using business partners in SAP S/4HANA. Use the BP (Maintain Business Partner) transaction code to create a customer template.

Set Up Business Partner (BP) Roles and Grouping

Prospects are potential customers that are created by sales agents. A sales agent can create a prospect online from the Sana webstore and place an order on behalf of this prospect.

Sana uses business partner (BP) roles and grouping in SAP S/4HANA to create prospect accounts online from the webstore. Therefore, to allow sales agents to create prospects, you must set up the necessary BP roles and grouping.

Step 1: Open the Webstore Configuration Sana app in the SAP Fiori launchpad. Select the necessary webstore and click Edit.

Step 2: In the Customer Settings, on the Account Group Mapping tab, select the necessary BP Role and Grouping for prospects (Create Contact).

You can use the standard BP roles and grouping as well as create your own custom BP roles and grouping.

When a sales agent creates a prospect in the Sana webstore, a prospect is saved to SAP S/4HANA with the selected BP Role and Grouping.

On the screenshot below see the BP Role of the prospect created in the Sana web store and saved to SAP S/4HANA.

Allow Sales Agents to Create Prospects in Sana

To create a prospective customer, a sales agent must enter prospect details.

In Sana Admin, a shop administrator can allow and forbid sales agents create prospective customers, and set up the fields that a sales agent must fill in to create a prospective customer.

Step 1: In Sana Admin click: Setup > Ordering > Registration.

Step 2: On the Registration tab, enable the option Create prospects for sales agents.

Step 3: In Sana Admin click: Setup > Profiles & addresses > Prospect profile.

On the Prospect profile tab, set up the profile fields for prospective customers. These are the fields which are shown in the Sana webstore on the Prospect details form. A sales agent must fill in this form to create a prospect.
