Number Series

Sana uses the default SAP Business One functionality (Document Numbering) to generate unique identifiers for business partners (B2C customers, prospects, and guest customer accounts), and also for sales orders and quotations. Using document numbering, you can set up number series for each type of master data and document that are created from a Sana web store in your SAP Business One system.

In SAP Business One you can set up document numbering at the following location: Administration > System Initialization > Document Numbering.

When a customer places an order or creates a quotation in the Sana web store, the sales order or quotation will be created in SAP Business One with the unique identifier.

NOTE

Make sure that the correct number series is set for sales documents with a valid posting period. Otherwise, customers will not be able to create sales orders.

When a customer registers online in the web store, or a shopper creates an order without registration as a guest, or a sales employee creates a prospective customer, a business partner is created in SAP Business One with a unique identifier.

You can set up the number series which will be used for the business partners and sales documents created from the Sana web store.

In SAP Business One click: Web Store > Web Stores. On the Number Series tab, you can define the number series for:

  • B2C and B2B customers

  • Guest customer accounts

  • Prospective customers

  • Sales orders

  • Sales quotations

These number series will be used for customer accounts (business partners) and sales documents created from the Sana web store. If you have several web stores, different number series can be set for each web store.

By setting up the number series for customer accounts and sales documents created from Sana, a user in SAP Business One can easily differentiate:

  • Those sales orders and quotations which are created from the Sana web store and from other channels.

  • Different customer accounts (B2C and B2B customers, guests, and prospective customers).

  • Customers created directly in SAP Business One and from the Sana web store.
